Printing in the Medical Library from your Laptop
Instructions for Windows OS

You may print to the Medical Library's printers from your personal laptop computer. The initial setup, using the step-by-step directions below, will take a few minutes. After this initial setup, establishing your connection to the printing system will take only a few seconds each time you use your laptop in the Medical Library.

You will need to use a copy card to retrieve your printouts and will pay the standard fee of 7 cents per page. More information about where and how to get your print jobs later.

These directions will tell you how to:

  1. Add the Medical Library Printer
  2. Download a file that will initialize the printer
  3. Create a customized shortcut that will run the initialization program
  4. After the setup - Printing your Documents
           --- Printing in Duplex Mode (aka two-sided printing)
Sound complicated? It really isn't.

Please note that these directions were produced for Windows XP Professional Edition. You may notice slight differences if you have a different version of Windows but they should be essentially correct.

*** Before you begin, ensure you have an active connection (either wired or wireless) to the Yale Network. If you have a wireless connection, you will also need to login to the Yale University VPN before you proceed.

 

1. ADD A PRINTER

  • The first you need to add the Medical Library Printer through Windows
  • From the "Control Panel", select "Printers & Faxes" -> "Add Printer" (or Start -> Printers & Faxes -> Add Printer)
  • You will see "Welcome to the Add Printer Wizard". Click Next >
  • Select a "Local Printer" (NOT network printer) and be sure to uncheck the box next to "Automatically detect and install my Plug and Play Printer"

  • Under "Use the Following Port", select LPT3:(Printer Port) (you MUST select lpt3)
  • Click "Next"

  • From the printer choices, select HP as the manufacturer and the HP Laserjet 4250 as the specific model. If you don't have the definition on your computer, you can download the definition for the HP Laserjet 4250n from the HP Website. (After downloading the appropriate file for your version of Windows, you'll need to click on "Have disk" and browse to find the folder where the printer drivers were just installed. Follow the prompts to install the 4250 printer driver).

  • Change the name to "Medical Library Printer" or some other distinctive name.

  • Answer "do not share this printer" in the next dialog box.
  • Answer No to "Do you want to print a test page?"
  • Click on "Finish"

2. DOWNLOAD PRINTER INITIALIZATION FILE

  • Click on the link below and select SAVE to save the file called "medlibraryprinter.bat" to your computer.Save the file under "My Documents" or in another folder on your hard disk. You will need to access the file in step 3 so take note of where you saved it.

3. CREATE A CUSTOMIZED SHORTCUT

  • Lastly, you need to create a shortcut on your desktop to the program. You will add your NetID to the file.
  • Right click anywhere on your computer's Desktop
  • Select New -> Shortcut
  • Click on Browse and locate the medlibraryprinter.bat file. Highlight the file and click OK

  • Add your NetID following the filename that appears in the "Type the location of the item" window. Be careful not to delete any portion of the filename and make sure you put a space between the quote symbol (") and your NETID
           - for example "...\MedLibraryPrinter.bat" mg344
  • Click Next > to continue.

  • Change the shortcut name to "Medical Library Printer" or some other descriptive name in the "Type a name for this shortcut" box. Save the shortcut by clicking Finish

    You are finished with the setup process!
  • PRINTING YOUR DOCUMENTS

    You are almost ready to print!

    Once you are connected to the network in the Library (that includes using the VPN if you are on WiFi), double-click the "Medical Library Printer" shortcut icon you placed on your desktop. Enter your NetID password when prompted. Your connection to the printing system is established and will remain active until you reboot your computer.

    Print as you normally would from any program. Obviously, you will want to choose the "Medical Library Printer" (or whatever name you assigned to the Medical Library printing system) from your list of possible devices.

    RETRIEVING YOUR PRINTOUTS
    Go to either Information Room Pay Station to retrieve your jobs. Insert your computer card and login to the paystation with your NetID. Print jobs will go to the printer nearest the paystation.

     

    PRINTING IN DUPLEX MODE
    Before you print two-sided documents you must set some printer options. Click the Windows Start button and select "Printers and Faxes". Right click on the entry for the Medical Library Printer (or whatever you called it) and select "Properties". Click on the "Device Settings” Tab. Change the settings in the section under "Installable Options" according to the example below, "Tray 3" to 1500-Sheet Tray for and "Duplex Unit (for 2-Sided Printing)" to Installed:



     

    To send a print job in two-sided format, choose "Print" and then click on the "Properties" button. On the "Finishing" tab, click in the checkbox for "Print on Both Sides". Two-sided printing saves tree but does not save you any money. You will be charged for each PAGE you print, not each piece of PAPER.
